How I Automated My Entire Scheduling With AI + Google Calendar

Manual scheduling is one of the biggest time sinks for consultants and service businesses. Here's the exact system I use — and how you can replicate it.

The Old Way\n\nBefore I built this system, here's what booking a client looked like:\n\n1. Client emails asking about availability\n2. I check my calendar, send 3 options\n3. They pick one, email back\n4. I create a Google Calendar event\n5. I send them a Google Meet link\n6. I add it to my CRM spreadsheet\n7. I set a reminder to send a prep email 24 hours before\n\nThat's 7 steps. I did them manually for every single booking.\n\nNow it's 0 steps. The client books, everything else happens automatically.\n\n---\n\n## The Automated System\n\nLayer 1: Calendly\n\nCalendly handles the scheduling interface. The client picks a time from my real-time availability, fills in their details, and confirms.\n\nLayer 2: n8n Webhook\n\nThe moment a booking is confirmed, Calendly fires a webhook to my n8n workflow. This triggers everything downstream.\n\nLayer 3: Google Calendar + Meet\n\nn8n creates a Google Calendar event with a Google Meet link automatically generated. Both the client and I receive calendar invites.\n\nLayer 4: CRM Update\n\nn8n writes the booking details to my Google Sheets CRM — name, email, company, package type, date, and the Meet link. My full client record is created in seconds.\n\nLayer 5: Confirmation Email\n\nA personalized confirmation email goes out to the client with the session details, Meet link, and a brief "what to prepare" note.\n\nLayer 6: Reminder Email\n\n24 hours before the session, n8n fires another email reminding the client and resending the Meet link.\n\n---\n\n## The Result\n\n- Zero manual steps after a booking is made\n- Zero missed confirmation emails\n- Zero calendar entries forgotten\n- Zero CRM entries missed\n- No-show rate: significantly reduced\n\n---\n\n## Can You Build This?\n\nYes — if you're comfortable with basic webhook setup. The whole system runs on:\n\n- Calendly (free or paid)\n- n8n (self-hosted or cloud)\n- Google Workspace (Calendar, Meet, Sheets, Gmail)\n\nIf you want this built for your business without the technical setup, that's exactly what my AI Implementation Package covers.
